What is PDF Editing?

One of the major advantages for businesses and professional users in using PDF as a means of sending information is that once created by a user it cannot be altered. What this means is that when the document or file is received, it is guaranteed to be in the exact same state as it was when it was created and sent

This might sound overly complex, especially to inexperienced users, but the benefit and meaning is that the creator of the file had their own designated PDF password and “locked” the document so that it can only be amended, deleted or added to by a user who has the same password.

Given that PDF files are widely used as a means of transferring information from user to user safely and securely, the “interference free” appeal of PDF is a major bonus to any user. This is especially the case given that files are often transferred by professionals for whom client confidentiality is a major concern

However, as with many aspects of new or modern technology, there is a disadvantage to the process.

The Problem

Many companies are judged by their professional colleagues and clients on the quality of documents and literature they send out and it is often the responsibility of one individual to forward all of the various documents. This is also true in the case of larger organisations where one person has the task of sending mailshots, applications and marketing information. As these documents will have often been produced and completed by a separate creator it is also often the case that it will be the producer of the PDF file who has the relevant code rather than the person sending it.

This might sound fine in theory, but in practice it could potentially become problematic, especially when considered that if the “sender” views an error they will not be able to make any amendments to it. However, they will be aware that if it is sent out in its erroneous state it will not only reflect poorly on the organisation sending the document, but them personally.

In this situation, if the initial recipient knows there is a problem but is unable to amend or correct it, this could reflect poorly on the first and middle person and make them seem unprofessional in the eyes of the final recipient.

The Solution

The solution to the problem is relatively simple in itself, although the methods used by operatives might vary in their complexity. Using a PDF editor program gives a user the ability to access a document and edit it to remove errors or to add content.

Depending on which particular PDF editor a user chooses to use, the process can be simple or complex and as with many applications different users favour different methods, products and manufacturers of PDF editor.
