Understanding PDFs

If you use computers in any way then you will have undoubtedly come across the PDF file. A PDF is a Portable Document Format and is an extremely efficient way of archiving electronic documents. It was created by Adobe in 1993 and is now used all over the world by many people. It has many benefits and this is why their popularity has boomed, however, there is a major drawback in that it is extremely tricky to edit a PDF.

The Benefits of PDFs

There are a great number of benefits to PDFs such as their mobility. As long as a computer user has the necessary software to read PDF files, they can access and read the files whenever and wherever they are by using free tools like Adobe Acrobat Reader. The great accessibility of PDF reading software means that many different types of people can work with PDFs. Another benefit of the PDF is that is effectively retains all the visual elements of a document which you have created in another program before converting it to a PDF file. This includes all text, graphics and images. PDFs can be seen as a “snapshot” of a document – it is a wholly accurate representation of a document, but once that snapshot is formed, it becomes extremely tricky to change it in any way and edit a PDF. PDFs are also extremely safe and secure due to their level of user access capability, and there is very little chance of them becoming damaged by viruses.

Difficult to Edit

A PDF file is essentially an un-editable image of the original document. The original document will have been created on an alternative program such as Microsoft Word. The fact that the document, once it is converted to a PDF, cannot be edited makes it extremely beneficial in terms of the security of a document – especially if it contains sensitive or private information. However, this becomes annoying if there are errors or untruths within the document that need to be corrected. This is especially relevant if you are using PDFs as business documents – sloppy typos and errors will present your clients and customers with an unfavourable view of your company and it may mean they choose not to work with you. Therefore it is extremely important that you look for specialist software that can allow you to edit a PDF.

Edit a PDF with Editing Software

There are a great number of PDF editing software packages available to purchase on the market and many are sold at extremely affordable prices. They are definitely worth investing in if you intend to edit PDFs on a regular basis. Online search engines can provide you with a massive selection of retailers that provide PDF editing software – choose a retailer that has good customer feedback and reviews. It is wise to buy online rather than in-store as many online retailers offer cut price deals and special offers that you will not find on the high street.  The digital exchange of data between offices  has never been more important, so make sure you know how to use the files you are sent.
