Editing Text In PDF Documents Should Be Easy With The Right Software

The portable document format is more commonly known as the instantly recognisable PDF document. The name portable document is no coincidence, it is one of the most widely used, opened, viewed, read, attached, sent, uploaded, downloaded document types in the IT world and used by millions of people on countless computers, laptops and smart phones each and every day. But what makes this file format so popular? Why doesn’t everyone just use Microsoft Word for documents?

Quite simply, Microsoft Word has requirements in order to be viewed. For a start, even on PCs that are running a version of Microsoft Windows (the operating system) there is still a requirement for the software of Microsoft Office (or Word) in order to open the file. Then there can quite often be unexpected complications with the Microsoft Word file format. Because Word documents are freely editable, they can become unwillingly changed, and the mistakes can creep into the document.

Where Adobe’s PDF file format has truly excelled is in its reliability to be able to display the same document in the same format no matter what machine or device is accessing it. This is normally viewed by being opened in Adobe’s own Reader software which is installed by default on the majority of PCs and Macs. However, this Adobe Reader is a quick free download for anyone with an internet connection, and is normally prompted if someone is trying to open a PDF without the required Reader software installed.

When it comes to editing text in PDF documents you will need another piece of software installed. This software can either be direct from Adobe themselves (however this is by far the most expensive option) or, a more cost effective alternative, is to find an independent supplier of software for editing text in PDF documents.

There will be offers of free software, free trial software downloads and full online purchasable and installable software. It is recommended when looking for software for editing text in PDF documents, to find one that enables you to open the PDF as you would in a normal word processor. The software that allows this functionality is normally the best and most user friendly, enabling instantaneous changes to a PDF document from text (font, positioning, spelling) to images (positioning, alternate images, size) all in real time in the document itself.

The cheaper versions of editing text in PDF documents may be tempting, but once you have trialled them you will soon find that they aren’t nearly as user friendly as the best examples on the market. The cheaper or free versions often require the PDF to be converted into a word processor compatible file format such as Microsoft Word. But in this conversion process the formatting of the PDF can be altered from that of the original and editing the document can prove as much hard work as it would have been just to re-produce the entire PDF from scratch.
